Desktop app messages: startup, login, updates and sync

Messages you may see in the desktop app when it won't open, on database errors, wrong email or password, logging in with a different account, a new version, download errors and on the sync screens.

This page lists the warnings and error messages the BenimPOS desktop app shows at startup, on the login screen, during updates, when switching staff and on the sync screens. Under each message you will find what it means, why it appears and what to do. Search the page for the first words of the message on your screen (Ctrl+F). Parts shown as <…> in the messages appear on screen as a product name, an amount or error details.

When the app starts (local database)

The desktop app keeps its data in a database on the computer (SQL Server LocalDB). The messages in this section appear when that database can't be reached. Details: Desktop installation.

"BenimPOS is already running. If the app hasn't opened yet, please wait a moment."

"BenimPOS is open"

What it means: The app is already open on this computer; it won't open a second time.

Why it appears: The app was opened twice from its icon, or the app was closing for an update or restart.

What to do: Use the BenimPOS window that is already open on the taskbar, or wait a few seconds and open it again. If no window appears, restart the computer.

"Could not connect to the database. The program is closing."

"Local database connection error!"

"Could not connect to the local database."

What it means: The app could not connect to the database on the computer.

Why it appears: The database service (SQL Server LocalDB) didn't start, or another program / antivirus is blocking it. Having several SQL Server installations from other programs on the computer can also cause a conflict.

What to do: Restart the computer and open the app. If it continues, allow BenimPOS in your antivirus. If it still won't open, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message; our team will connect with Alpemix and check it. If extra SQL installations need to be removed, a computer technician should do it. Meanwhile, you can keep selling from the web and mobile apps.

"Database file not found. The app is closing."

"Database file not found!"

What it means: The database file in the app folder is missing.

Why it appears: The file was deleted or moved (antivirus, disk cleanup), the app was run from inside a .zip file, or the disk was changed.

What to do: Reinstall the app from benimpos.com/masaustu and log in with the same account; your data that was synced to the web will be downloaded again. If there are records made offline that were not sent to the web, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message before reinstalling.

"There is a problem connecting to the database. You may have opened the app more than once, or another app may be interfering with the database. We recommend restarting your computer."

"Cannot open the database."

What it means: The database can't be used right now.

Why it appears: Another copy of the app was left open, or another program is using the database file.

What to do: Restart the computer and open the app only once. If it continues, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

"Cannot connect to the database. Please download and install SQL Server 2014 Local Database from our website."

"Database connection error."

What it means: The SQL Server 2014 LocalDB component the app needs is missing on the computer or not working.

Why it appears: The component couldn't be installed during setup (old Windows, antivirus, incomplete installation).

What to do: Download and install SQL Server 2014 Local Database from benimpos.com/masaustu and restart the computer. If you use Windows 7 / 8, install Windows updates first (Windows 10 / 11 is recommended). If the problem continues, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

"The local database required for the app to run was not found. The local database will now be downloaded. Please wait until the database is downloaded."

"Database not found!"

What it means: On first installation, or if the file is missing, the app downloads the database file it needs.

What to do: Wait for the download to finish without disconnecting from the internet.

"The file has been downloaded. Now restart the app. "

What it means: The database file has been downloaded.

What to do: Close the app, open it again and log in.

"The device key required for the app could not be created"

"Key error"

What it means: The app couldn't generate the App Key specific to this computer, so you can't log in.

Why it appears: The app doesn't have permission to read the computer's information or to write files.

What to do: Close the app, right-click the icon and open it with Run as administrator. If it continues, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

Login screen

Details: I can't log in.

"Incorrect email or password."

"Incorrect email or password. [OffxA1]"

"Incorrect email or password. [OffxA2]"

"Invalid login."

What it means: The email or password you entered is wrong.

Why it appears: A typo; or there was no internet and the app tried to log you in with the last details stored on the computer (messages with [OffxA1] / [OffxA2] appear in this case), and your password is different from the one stored on that computer.

What to do: Check your email and password. If you changed your password recently, connect to the internet and try again. If you forgot your password, reset it from the web panel or the mobile app (the desktop app has no "forgot password" option).

"Incorrect email/staff code or password."

What it means: The staff code or password is wrong.

Why it appears: Staff login uses the data stored on the computer; a newly added staff member, or one whose password was changed, may not have been synced to this computer yet. The staff member may also have been set to inactive.

What to do: First log in as admin and wait for sync to finish on the home screen, then try again with the staff member. Details: Staff login.

"Please enter a valid email address."

"Invalid email address!"

What it means: The email address format is wrong.

What to do: Type the full address, including @ and the domain.

"You must select admin or staff as your login type."

"You must fill in the Email/Staff code and Password fields."

What it means: No login type was selected, or the fields are empty.

What to do: In the form on the right, select Admin or Staff, enter your details and press Log In.

"Please make sure you have an active internet connection."

"No internet connection!"

What it means: This action needs the internet.

Why it appears: The first admin login on this computer and downloading the database file require the internet.

What to do: Check your internet connection and try again. On later logins, if there is no internet, the app opens with the data stored on the computer.

"You are logging in with a different account from the one used on this computer. If you continue, your current data will be deleted and the data of the account you are logging in with will be integrated. This cannot be undone. Do you confirm?"

"You are logging in with a different account!"

What it means: Another account was used on this computer before. If you continue, the old account's data on the computer is deleted and the new account's data is downloaded.

Why it appears: You are logging in with the wrong email, or the computer is being handed over to another business.

What to do: If you're not sure, choose No and log in with the correct account. If you really are going to use the computer with another account, first make sure the old account's data has been synced to the web.

"WARNING: There are <number> records (sales, payments, invoices, etc.) on this computer that have not yet been sent to the web. If you continue, these records will be PERMANENTLY deleted and will never reach the web. We recommend logging in with the old account first and waiting for sync to complete. Do you still want to continue?"

"Unsent data will be deleted!"

What it means: There are records from the old account that haven't reached the web yet; if you continue, they will be lost.

Why it appears: Sales, payments or invoices made offline or before sync finished are waiting on the computer.

What to do: Choose No. Log in with the old account and, while connected to the internet, wait for the pending records on the Data integration card on the home screen to be sent ("Integration completed"). If you're not sure, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

Signing up from the app

"Your passwords do not match."

"Passwords do not match."

What it means: The password and the repeated password are not the same.

Why it appears: Different values were typed in the two boxes on the sign-up screen or while changing the password in Profile settings.

What to do: Type the same password in both boxes.

"Password must be at least 5 characters."

What it means: The password is too short.

What to do: Choose a password of at least 5 characters.

"To sign up, you need to accept the user agreement and the privacy policy."

What it means: The agreement box was not ticked.

What to do: Tick the user agreement and privacy policy box and sign up again.

"No active internet connection found or the server could not be reached. You can continue at www.benimpos.com."

What it means: The server could not be reached for sign-up.

Why it appears: There is no internet, or a firewall is blocking the connection.

What to do: Check the internet and try again, or sign up at benimpos.com and log in to the desktop app with that account.

Updates

Details: Desktop updates and backups.

"A new version of BenimPOS is available. Do you want to update your app now?"

"A new version is available!"

What it means: A new version of the desktop app has been released.

What to do: Choose Yes; when the download finishes, installation starts by itself. Don't turn off the computer meanwhile. Updates are free and don't delete your data. You can't go back to an older version; staying on an old version causes sync problems.

"Download error: <error details>"

"Download could not be completed: <error details>"

What it means: The new version could not be downloaded.

Why it appears: The internet was cut off, the antivirus blocked the file, or there is no space on the disk.

What to do: Check the internet and reopen the app; you will be asked about the update again. If that doesn't work, download and install the latest version from benimpos.com/masaustu. If it continues, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

Switching staff and sessions

"Select the staff member you want to switch to from the list."

"Enter the staff member's password."

What it means: In the switch staff window, no staff member was selected or no password was entered.

What to do: Select the staff member from the ACTIVE STAFF list, type their password and press Switch to staff.

"Wrong password. Please try again."

"Invalid password"

What it means: The password of the selected staff member is wrong.

Why it appears: If the password was changed recently, it may not have been synced to this computer yet.

What to do: Check the password; if it was changed recently, wait for sync.

"The password could not be checked. Please try again."

"Could not switch staff. Please try again."

What it means: Switching staff failed.

Why it appears: The database didn't respond at that moment.

What to do: Try again. If that doesn't work, exit with Sign Out and Exit and log in as the staff member.

"Too many failed attempts. Restart the app and try again."

"Wrong password."

"Support login"

What it means: A wrong password was entered in the support login window.

Why it appears: This window is only for use by our support team.

What to do: Close the window; your business account password is not used here.

Data sync (integration) screens

Details: Data isn't syncing.

"Are you sure you want to start a manual integration for <data type> data?"

"Are you sure you want to start a manual integration for product data?"

"Are you sure you want to start a manual integration for sales data?"

"You are about to reset the update!"

What it means: You are about to resend all records of the selected data type (products, sales, customers, suppliers, payments, etc.) to the web.

Why it appears: One of the data type buttons was pressed on the sync status screen.

What to do: Only do this when our support team tells you to; starting it at the wrong time can overwrite the up-to-date data on the web. If you're not sure, choose No and write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

"The sync status of your data has been reset. On the first integration, your data will be integrated into the web app."

"Are you sure you want to change the sync status to completed?"

"The sync status of your data has been changed to completed."

What it means: The sync status of a data type was changed on the sync status screen.

What to do: If you made a change on this screen, wait without closing the app until the home screen shows "Integration completed". Don't use this screen without instructions from support.

"An error occurred while getting the counts."

"The operation could not be completed."

What it means: On the sync status screen, record counts could not be read or the action could not be applied.

Why it appears: The database didn't respond at that moment.

What to do: Close and reopen the screen; if it continues, write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

"The start date cannot be later than the end date!"

What it means: The start date you selected is after the end date.

What to do: Correct the dates and try again.

"Customers, products and suppliers cannot be compared at the same time. Please compare them separately."

"Sales and payment data cannot be compared at the same time as customer, product or supplier data. Select customer, product and supplier data one at a time to compare."

"Sales and payment data cannot be compared at the same time as supplier debt/payment or purchase invoice data. Each group can only be compared on its own."

"Supplier debt/payment and purchase invoice data cannot be compared at the same time. Each group can only be compared on its own."

"Check your selection!"

What it means: Data groups that can't be compared together were selected on the data integration check screen.

Why it appears: This screen is a check screen used to compare desktop and web data, and it compares one group at a time.

What to do: Tick a single data group and start again. To fix differences, don't take any action yourself; write to our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

If you can't find your message here or the suggested steps didn't solve the problem, send our WhatsApp support line a screenshot of the message, your registered email address and the version number shown at the bottom right of the home screen. If a remote connection is needed, our team will ask you for your Alpemix connection details.
