Desktop messages: products, stock and product groups
What the product, VAT, barcode change, add stock, reduce stock and product group messages in the desktop app mean and how to fix them.
This page lists the warning and error messages shown in the BenimPOS desktop app on the product card, when adding / reducing stock and in product groups. Under each message you'll find what it means, why it appears and what to do. Search the page for the first words of the message on your screen (Ctrl+F). Parts shown as <…> in the messages appear on screen as a product name, an amount or error details.
Product card
"You need to enter the product name and price to add/update a product."
What it means: The product wasn't saved because the product name or price is empty.
What to do: Fill in the PRODUCT NAME and PRICE 1 fields and press Save. Details: Adding a product.
"The VAT rate was left empty. The product will be saved with 0% VAT. Do you want to continue?"
"VAT empty"
What it means: The VAT field is empty; if you continue, the product is saved with 0% VAT.
What to do: If the product has a VAT rate, choose No and fill in the VAT field (e.g. 1, 10, 20). If you use a fiscal cash register, the VAT rate must be set up on the device.
"An error occurred while saving the product: <error details>"
"An error occurred while saving the product, no changes were saved: <error details>"
What it means: The changes on the product card weren't saved; the product is unchanged.
Why it appears: Something went wrong while writing to the database on the computer (e.g. sync was running in the background).
What to do: Wait a few seconds and try again; if it doesn't help, close and reopen the app. If the problem continues, message our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.
"Are you sure you want to delete the product? When you delete the product, its sales are converted to a miscellaneous product."
What it means: This is the confirmation before deleting the product.
What to do: The past sales of a deleted product stay in reports as “Miscellaneous Product”, and turnover doesn't change. If you just don't want to see the product on the sales screen, you can turn off SHOW ON SALES SCREEN instead of deleting it.
"Barcodes can only be changed from the main account."
What it means: You can't change a product's barcode with a staff login.
What to do: Log in as the admin (main account) and use Change Barcode on the product card.
"Changing barcodes is available on accounts with an active license. Renew your license to use this feature."
"License required"
What it means: Changing barcodes is disabled because your license has expired.
Why it appears: Changing a barcode also moves past sales and purchase records on the web, so it requires a license.
What to do: Renew your license from the web panel. Details: License.
"Could not get product options: <error details>"
What it means: The options (size, colour) of a product with variants couldn't be read.
Why it appears: The database was busy at that moment, or the variant details haven't synced yet.
What to do: Wait a few seconds and try again; if it doesn't help, close and reopen the app. If the problem continues, message our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.

"You can't leave the quantity to add empty."
What it means: STOCK QTY TO ADD is empty.
What to do: Enter the quantity and press Add Stock again.
"Select a supplier."
What it means: No supplier was selected for the stock entry.
Why it appears: The stock entry is saved as a purchase invoice, so a supplier is required.
What to do: Choose the supplier from the SUPPLIER list. If your supplier isn't saved, add it first from Suppliers.
"Select your payment type"
What it means: No PAYMENT TYPE was selected.
What to do: Choose the payment type. If you don't want it to affect the till and profit, choose Do not affect earnings.

Why it appears: Something went wrong while writing to the database.
What to do: Wait a few seconds and try again; if it doesn't help, close and reopen the app. If the problem continues, message our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.
"A new invoice was created and your stock was added."
What it means: The stock was added. This is saved in the background as a purchase invoice.
What to do: Nothing. You can see the entry in Purchase Invoices › Your purchase invoices; if you chose on account, the amount is recorded as a debt to the supplier.
Reducing stock
Appears in the PRODUCT ACTIONS › Reduce Stock window on the product card.
"The stock to deduct can't be more than the total stock."
What it means: The quantity you want to deduct is more than the product's current stock.
What to do: Enter a quantity less than or equal to the current stock. If the stock is wrong, correct it first with a stock count.
"The sale price can't be negative."
What it means: A negative sale price was entered in the reduce stock window.
What to do: Enter a price of 0 or more.
"Please fill in all fields."
What it means: One of the required fields on the form is empty.
Why it appears: The quantity or price was left empty when reducing stock, or fields such as name, email or password were left empty on the sign-up screen.
What to do: Fill in the empty fields and try again.
"Invalid payment type."
What it means: No PAYMENT TYPE OF THE SALE was selected.
What to do: Choose the payment type; if you don't want it to affect the till and profit, choose Non-revenue.
"Stock could not be reduced. {Err 371 : Sales INFO}"
"An error occurred while reducing stock, the transaction wasn't saved: <error details>"
What it means: The stock deduction couldn't be saved; the stock hasn't changed.
Why it appears: A stock deduction is recorded as a sale; this record couldn't be written to the database.
What to do: Wait a few seconds and try again; if it doesn't help, close and reopen the app. If the problem continues, message our WhatsApp support line (weekdays 09:00–18:00) with a screenshot of the message.
Product groups
Appears on the Products › Product Groups page. Details: Product groups.
"The group name can't be empty"
What it means: GROUP NAME is empty.
What to do: Enter the group name and press Save Group.
"Please double-click the product group you want to delete to select it."
What it means: No group was selected for deletion.
What to do: Double-click the group in the list; when the form switches to edit mode, press Delete Group.
"An error occurred while deleting the product group."
What it means: The group couldn't be deleted.
Why it appears: Something went wrong while writing to the database, or the group was already deleted.
What to do: Refresh the list and try again. Products in a deleted group are left without a group, and its subgroups become top-level groups.
