End of day, till and VAT

Where do I get the end-of-day report?

The cards at the bottom of the report are the day's summary: Cash, Card, On account and Total; Payments Received, Supplier Payments, Expenses, Income; the Cash Register Report, which shows the money that should be in the till; and Profit, Turnover and Product Cost.

Reports › Daily Report opens with today's sales. With Print you can print an end-of-day summary on the receipt printer, or download Excel or PDF.
Reports › Sales Report opens with today's date; press List and look at the cards at the bottom of the page. For an end-of-day printout on the receipt printer and PDF, use the web panel.
In Menu › Sales Report, tap List; a summary by payment type appears at the bottom. With the printer icon you can print it as a PDF and share it.

Details: Daily report, end of day and VAT breakdown.

Is there a VAT report? Where do I see the VAT breakdown of my sales?

Yes. In the Daily and Date Range reports (on desktop, the Sales Report), click the arrow next to the Total card and the sales open up by VAT rate, with the tax base and VAT amounts. The breakdown is calculated from the products' VAT rates; returns are deducted and no-effect sales aren't included. Before handing it to your accountant, make sure your products' VAT rates are correct. There is no separate VAT module that produces tax returns or accounting vouchers.

The turnover on the home page doesn't match the money in the till.

The sales and turnover cards on the home page show only sales; expenses and supplier payments aren't deducted there. For the cash that should be in the till, look at the Cash Register Report in reports: cash sales + cash payments received from customers + cash income − cash expenses and cash supplier payments. If your till doesn't balance at the end of the day, check that sales were saved on the right date and with the right payment type, and check the computer's date and time. To carry the till opening balance over from the previous day, turn on Carry over register opening from previous day under My Profile › Other Settings in the web panel.

Where do I see the payments I collected from customers (credit payments)?

Sales totals include only sales. Payments you received from customers are listed separately on the Payments Received card at the bottom of the report; cash payments are added to the Cash Register Report.

The Payments received icon at the top of the Sales Report shows customer payments between two dates.

Sales after midnight are recorded on the next day. Can I change the end-of-day time?

No, the day changes at 00:00 midnight and this time can't be changed. If your working hours go past midnight, run the report in the Date Range Report (on desktop, the Sales Report) by entering a start and end time (e.g. 09:00 – 03:00 the next day). To see the same time range for each day, use More Options › Apply time range to each day.

Can I get a report per staff member or shift? Is there a Z report?

In the Date Range Report (on desktop, the Sales Report), choose STAFF and a time range to see the cash, card and on-account totals for a staff member's shift. There is no separate shift closing or Z report; the fiscal cash register's Z report is taken from the device. For products that staff deleted from receipts, use the Staff Activity Report.

Profit and cost

Why does profit show as 0 or negative?

  • Profit is calculated only if the product's purchase price is saved; products with a purchase price of 0 show no profit.
  • Profit is calculated with the purchase price at the time of the sale. If you enter the purchase price or the purchase invoice later, the profit of earlier sales doesn't change retroactively.
  • A product whose purchase price was entered higher than its sale price makes a negative profit. Find these products in the product list by sorting by "purchase higher than sale".
  • Sales made with a misc. amount have no purchase price, so no profit is calculated.
  • If a product is cancelled from the receipt after the sale, its profit may show as 0.

To see profit, press Show profit in the report. Details: Date range report.

Why are markup and profit margin different? Why is net earnings negative?

Markup is profit as a share of cost (purchase price); profit margin is profit as a share of the sale price, so they give different percentages for the same sale. Net earnings is all income minus all expenses (including supplier payments, expenses and returns); if you made a large payment to a supplier that day, net earnings may show negative even if your product profit is positive. If you enter a purchase invoice as an invoice and also record it as an expense, the cost is deducted twice.

Where do I see my total stock value (cost and sale value)?

Summary at the top of the Products page shows the total number of products, total stock, stock cost and sale value.

At the top of the Products › Your products page you see LISTED PRODUCTS, PRODUCTS IN STOCK, TOTAL COST and TOTAL SALE VALUE.

The chart icon on the Products page (Product account summary) shows total stock, cost and sale value.

Cost is the purchase price on the product cards × stock quantity; products without a purchase price aren't counted.

Sales, product and stock reports

I can't see my old sales. The report for 2024 and earlier years shows 0.

Reports open with a short date range by default; move the start date back and list again. Sales from earlier years weren't deleted; they were moved to the archive: in the web panel, when you choose an old date in the Date Range Report, use the link in the warning that appears to open the archive report. Archive data isn't fully visible in the mobile app; use the web panel for past years.

How do I see how much I sold of each product?

The Product Report shows each product's quantity sold, amount and profit; you can filter by group, staff, customer and supplier, and list it Combined or Day by day. The Group Report totals the same information by product group. To see miscellaneous sales, returns and no-effect sales, include them from More Options. See Product and group reports.

The group report total doesn't match my turnover.

The group report only totals sales of products that belong to a group. Products without a group, misc. amount sales, returns, cancellations, no-effect sales and receipt discounts make the totals differ. To compare, list the same date range in the Date Range Report.

Why did a product's stock change? Who did I sell it to and when, and which supplier did I buy it from?

Open Product actions › Stock movement report on the product card, or choose the product in Reports › Stock Movement Report; move the start date back. Each line shows the transaction type, transaction code, date, customer / supplier, quantity and remaining stock; clicking the transaction code opens the receipt or invoice. Use SUPPLIER SELECTION to filter what came from one supplier.

The stock movement report isn't available on desktop; check it in the web panel.

The Last 100 transactions icon on the product card shows the product's recent stock in and out; for the full history, use the web panel.

You can see who changed a price and when on the Activity Log page in the user menu of the web panel.

Can I get my total stock on a past date, or a monthly opening-purchases-sales-closing report?

No. The system keeps the current stock; a stock list of all products for a past day and a monthly carry-over report aren't available at the moment. You can see the history per product in the stock movement report and get period sales from the Product Report. To keep a record of stock on certain dates, export the product list to Excel on that day.

What does "no effect" mean?

No-effect records are transactions that don't affect the till, turnover or earnings: for example purchase invoices with the "Don't affect earnings" payment type, stock deductions saved as no effect, and stock count differences. In reports, you can see these records separately by choosing No effect in the sale type filter.

Where do I see cancelled and deleted sales?

Cancelled sales under More Options in the Date Range Report (on desktop, the Sales Report) lists only cancelled receipts. Products that staff deleted from a receipt, receipts they deleted completely and leaving the screen without making a sale are in the Staff Activity Report on web and mobile.

Where are payment types such as meal card or bank transfer in the report?

Each extra payment type you set up is totalled on a separate card in the report summary and can be chosen in the sale type filter. If the sale was saved as cash or card, it won't appear under that payment type; you can correct the payment type in the sale details.

Can I get reports as Excel or PDF?

Download the listed report with Download Excel and Download PDF; the Print menu gives a Summary, Detailed or Totals only printout on the receipt printer.

Export to Excel saves the report in the Excel Files folder inside the app folder. For PDF and receipt printer output, use the web panel. In the free version, desktop shows only the last 7 days of reports; profit and Excel are licensed features.

Print › Print summary, Print detailed or Print totals only prepares the report as a PDF; you can print or share it.

The report on desktop is different from the one on the web.

The desktop report is built from the data on the computer. For sales made on web and mobile to appear, syncing must be complete: press Sync now on the Data integration card on the home page and check that the app is up to date.

Sales made on desktop reach the web once syncing is complete. Press Sync now in the desktop app and list the same date range again.

The mobile app uses the same data as the web; if there is a difference, log out and log in again, and update the app.

If the problem continues: Sync problems.

Can I get a report for all my branches together? Can reports be sent to my email?

On the main account, use BRANCH SELECTION › Select all in the web panel reports to get the report for the main account and all branches together. You can turn the weekly and monthly sales performance reports and the emails for critical stock, out-of-stock products and products near their expiry date on or off on the My Profile › Email Preferences page.
